What is our Virtual
Event service?

Whether you want to run a customer webinar or an all-hands call, delivering seamless online events is essential for organisations. But running large, virtual events can be challenging, complicated and frustrating.

Our Virtual Events service allows you to run seamless, effective online events, using Microsoft Teams Live Event, Zoom Webinar or Webex Webinar. You can buy Zoom or Webex licences from us, but you’ll need to use your own Microsoft Teams licence.

Our expert producers and operations teams will take on the burden and complexity of planning, running, and evaluating your online events, so you can focus on your message.

Frequently asked questions


Yes, you can. You get one hour of event time included, but you can easily add additional time to your event. Just ask our event team when you book. Any additional time is charged in 30-minute blocks.

The maximum event time on Microsoft Teams is four hours. It’s 24 hours on both Webex Webinar and Zoom Webinar.  

We need at least 48 hours, but it also depends on the availability of the Virtual Events team and platform licences.

For high profile and important events, please give us advanced notice to make sure we have enough planning and rehearsal time before the online event.

We have a range of support options to help you launch Virtual Events into your business. From self-help pages to one to one support from our specialist team as part of the implementation. Read more about the BT User Adoption service.

The people attending your online event can join either by computer audio or by dialling in on the phone. But they can only dial in on the phone on Webex Webinar or Zoom Webinar, not on Microsoft Teams. 

You can have up to 10,000 attendees in a Virtual Event on Microsoft Teams.

On Zoom Webinar you can have up to 50,000 attendees and on Webex Webinar up to 10,000, but the number of attendees will depend on the licence you have.

The maximum number of presenters depends on the platform.

•          Microsoft Teams - 100 presenters

•          Webex Webinar - 500 presenters

•          Zoom Webinar – 1,000 presenters

You can run online events at the same time. But you are limited on both Webex Webinar and Zoom Webinar by the number of licences you have available on that platform:

·       Microsoft Teams – 15 events

·       Webex Webinar – one event per licence

·       Zoom Webinar – one event per licence

Yes, but only if you ask us to record your online event when you book it.

Event cancellation

Yes, you will. Your discount is based on a commitment to run that number of events within a 12-month period. Any events you don’t use will still be charged.

If you’re not sure whether you can commit, you can buy as many pay as you go events as you want – you just won’t get the discounted price.

You can cancel your event, but depending on how much notice you give, you may be charged. The charges are:

• More than 48 hours’ notice – No charge

• Between 24 – 48 hours - 50% of the event fee

• Less than 24 hours’ notice - 100% of the event fee

If you don’t show up for your event then you will be charged 100% of the fee, based on the length of your booked event.


Yes, we will need access to your Microsoft Teams, Webex Webinar or Zoom Webinar accounts, to set up and manage your Virtual Events.

We use a password management system to help maintain event security. Password management systems generate and keep track of randomized passwords to make sure that the same ones are not reused across multiple event platforms and services.

Security for your online event is a big consideration for both you and your attendees. Each of the platforms we use (Microsoft Teams, Webex Webinar, and Zoom Webinar) all have built in security features.

Microsoft Teams is designed using the Microsoft Trustworthy Computing Security Development Lifecycle (SDL). Microsoft says that whilst it’s impossible to design a product to resist all future security threats, as these are not yet known, Microsoft Teams incorporates industry standard security standards at its foundation.

Webex Webinar’s security is built in, not bolted on. Your events will stream on encrypted channels and have up to date privacy features. There are also built-in compliance options depending on your location and your industry.

Zoom Webinar uses 256-bit Advanced Encryption Standard (AES), with optional end-to-end encryption. There are controls you can choose to increase security along with waiting rooms, screen share watermarks, passcodes, and many others.

  • Minimum order of 4 events.
  • Minimum 12-month contract term.
  • All bundles are based on a 12-month commitment. Any unused events will be charged in full.
  • Termination and cancellation charges apply.
  • Cannot be purchased in conjunction with any other offer.
  • BT may withdraw or amend this Offer at any time without notice.
  • If you already have a Unified Communication platform service - either Cisco Webex, Zoom or Microsoft Teams - and the remaining licence term is less than a year, you can choose to co-term the existing licence with this Offer and the prices set out in the pricing section may be different.
