Webex retention policy changes

Overview

Cisco is planning to remove the option to retain recordings, transcripts, and messaging data of your Webex.

These changes will start to take effect on the following dates:

  • 1 January, 2023 for standard pack licences
  • 1 March, 2023 for pro-pack licences.

Impact description

The following services are impacted by this change:

  • Webex Meetings
  • Webex Messaging.

If you have any data (recordings, files, messages, or other content, etc.)  that needs to be kept, inform your users to create a local copy. After the new retention policy takes effect, everything older than the retention period +1 day will be removed from the cloud.

Any retention policy currently set that does not exceed the maximum default values (360 or 3600 days) will not be changed.

What do you need to do?

 

1.   Check if you’re using standard pack or pro-pack licences. To do this, log in to your organisation via Webex Control Hub.

2.   From you organisation go to Management >Account>Subscriptions.

3.   Under Subscription, if you see the section Management and Security, you have pro-pack licences. If this section isn’t available, you are using standard pack licenses.

4.   Depending on which group your organisation belongs to, follow the below instructions.

If you’re using Standard pack licences:

  • check the retention period for your meetings in the Webex Control Hub. If it is set to indefinite for your meetings, change it to a value between 7 days to 360 days.
  • check the retention period for your messaging in the Webex Control Hub. If the retention period is set to indefinite, change it to a value between 1 day to 360 days.
  • inform your users to make a local copy of their data.

If you wish to preserve your data for more than 1 year, please contact your BT Account Manager to support you with the upgrade to the pro-pack offer.

If you’re a using Pro-pack licences:

  • check the retention period for your meetings in the Webex Control Hub.  If the retention period is set to indefinite, change it to a value between 7 days to 3600 days.
  • check the retention period for your messaging in the Webex Control Hub. If the retention period is set to indefinite, please change this to a value between 1 day to 3600 days.
  • Inform your users to make a local copy of their data that they wish to keep.
